Items 101

A space to make instant edits and additions to count sheets and Items in your facility.

User Access Level: Managers & Admin

Purpose: Adding and editing items

Adding a new Item

To add a new item into Sonar, click the 'Add' button within the Items module search screen

Then proceed to navigate through the item tabs to create your item

General Tab
Within the general tab, you will create the Item's name, packaging type, storage location, default priority and repair/replace cycle variables.

1. Create Item Name
Boxes outlined in red are mandatory, all other boxes are optional

2. Select storage area

3. Set default priority
This will show when the item is scanned into Decon and Assembly

4. Select the packaging type
This will show above the count sheet in the Assembly module along with any Notes

5. Enter a repair or replace cycle variable
Every X amount of times an item is scanned into Assembly, Sonar will alert the user that it's time for that item to be either sent for repair or replaced.

Process Tab
Within the process tab, you will set the items Decon path, Assembly difficulty, and Sterilization parameters. 

1. Set the Decon path
Use the checkboxes to select the Decon path for the item. This, along with any special instructions, will show at the bottom of the screen within the Decon module when the item is scanned in

2. Set the Assembly difficulty
This will determine what staff are allowed to assemble the tray. For example, if a staff only has preferences set to allow them to assemble items up to a level 3, then if they scan in a more difficult tray, Sonar will not allow them to assemble it.
Anything you type into the 'Assembly Special Instructions' field will show in a pop-up window every time that item is scanned into Assemble. 

3. Set the Sterilization parameters
Parameters selected here will determine how items can be sterilized in the Sterilize module. For example, if a sterilization load is created under Prevac, 270 4-45 parameters and an item is not approved for these parameters, Sonar will not allow the item to be added to the load.
Items can be approved for multiple parameters. 

Prods Tab
Within the Prods tab, you'll create your count sheet.

1. Use the '+ Prod' button to add products

This will bring you to a Select a Product search screen where you can search for your products by either name or part number. 

2. Once you find your product, highlight it and click select at the bottom right of the window to add it to the count sheet.

3. Now that the product has been added to the count sheet, you can use the details on the right to indicate the product as 'No subs' or 'Critical if Missing' - these indications will show up in red when this product is clicked on during Assemble.
You can also add in Notes or Alt Part numbers which will also show while the tray is being assembled. 

4. You can add notes to the count sheet by using the '+ Note' button.

5. To delete a product added, highlight the product and use the 'Actions' drop down to select 'Delete selected rows'

6. Use the 'Auto Sort' option to have Sonar auto sort your count sheet into sections with headings

Result:

Inventory Tab
Where you'll add units of inventory to your item (this is mandatory).

1. Use the 'Add' button to add a new unit of inventory
Sonar will add inventory in order of 01, 02, 03, etc.

2. Enter details (storage location, serial number, etc.) about that unit of inventory to the right.
Barcode values will be assigned automatically (to test this, navigate to a different tab and then come back, you'll see the barcode has been created).

3. To delete (permanently remove) or inactivate (hide from sonar until reactivated) a unit of inventory, highlight it from the list then use the 'Actions' drop down.

Media Tab
Here you can upload any type of media (picture, video, PDF, etc.) to a tray and users will be able to view it from the Decon and Assemble modules. 

1. Click the 'Upload Media' button to open a window that will allow you to upload media

Editing Items

Editing items is very similar to adding an item, but instead of using the 'Add' button at the beginning, you'll just search for your tray you want to edit and double click to open it up. Then proceed to navigate through the tabs discussed above to make changes.
